1. Accessing User Management
After setting up your organization in Smart Role, you’ll likely want to invite users. Here’s how to do it:
- Navigate to Organization Settings.
- Select Users. You will see a submenu with three options:
- Users: View all users and their roles.
- Invites: Invite new users.
- Role Management: Manage roles and permissions.
2. Inviting Users
To invite new users:
- Go to the Invites section.
- Enter the user’s email address.
- Select the role for the user (e.g., agent, admin, team lead).
- Click Invite. An invitation email will be sent to the user. Once accepted, the user will appear in the Users list with their assigned role.
3. Understanding Roles
By default, Smart Role has three predefined roles:
- Admin: Full access to all features and settings.
- Editor: Can manage scenarios and data sources.
- Agent: Can participate in scenarios and training sessions.
4. Creating Custom Roles
If the default roles don’t meet your needs, you can create custom roles:
- Go to Role Management.
- Click + Add.
- Name the new role and configure its permissions. You can decide what each role can read or manage, such as scenarios, soft skills, or reports.
- Save the new role.
5. Assigning Custom Roles
After creating a custom role:
- Return to the Invites section.
- Invite a new user or update an existing user’s role by selecting the newly created custom role from the options.

Suppose you want to create a role for a team lead who can manage scenarios and data sources but not access reports. You would:
- Create a custom role named “Team Lead.”
- Set permissions to allow management of scenarios and data sources.
- Invite a user and assign them the “Team Lead” role.
